What is an Electronic Concierge System?
An electronic concierge system is a secure, automated unit that manages key handovers without staff needing to be present. Individually locked compartments accessed by PIN, RFID card, QR code, or biometric fingerprint let customers and residents deposit and collect keys on their own schedule, at any hour. Every transaction is logged automatically, creating a complete digital audit trail for security and compliance.
Why Replace Manual Key Handovers?
Most businesses still rely on a staffed desk, an unmanned drop box, or an informal arrangement for key handovers, and the cost is real. Keys go missing with no record of who handled them. Out-of-hours drop-offs sit unlogged until staff arrive. And informal arrangements expose your business to liability when things go wrong. The e-Drop closes the gap that no standard key cabinet can reach.
How it works
Built from 1.5mm mild steel, it is designed for professional environments where security, accountability, and reliability are non-negotiable. For businesses that require integration with third-party platforms, the system supports external connectivity to fit into your existing operational infrastructure.
1. Customer Arrival
The customer scans their unique QR code at the system to unlock an empty, individually secured compartment.
2. Key Deposit
They hook their key to the fob hook inside the compartment and close the door. The system registers this.
3. System Update
e-Track web software logs the deposit, starts the WIP timer, and sends out an automated notification.
4. Team Collection
Staff receive an alert and collect the key. The workflow can then be automated or tracked manually.
5. Key Return
On completion, staff return the key and answer the on-screen return questions, updating the job record automatically.
6. Customer Notification
The customer receives an automated alert confirming their key or vehicle is ready for collection no calls, no chasing.
What Makes the e-Drop System Different
The e-Drop Controller manages up to 8 key positions as standard, with Extension modules taking a single installation to 120 positions and 4G, WiFi, and Ethernet connectivity keeping everything online around the clock. Here is what sits at the heart of it.
Individual Compartments
Each compartment holds a single key, secured until authorised access is granted via the controller. Providing full accountability for every key.
QR Code / PIN Access
Customers and staff use a unique access method for fast, secure, contactless transactions. After-hours drop-offs and early-morning collections.
RFID Fob Integration
Keys are attached to lockable RFID fob hooks inside each compartment. The fob travels with the key through every stage of the workflow.
Automatic Logging
Every deposit and collection is instantly recorded in e-Track web software. A complete digital audit trail for compliance and accountability.
WIP Tracker Connection
The moment a key is deposited, e-Track software starts the WIP timer automatically. Monitoring each individual job throughout the workflow.
Touchscreen Interface
The 10" HD touchscreen guides every user through the handover process including staff return questions, stage updates, and system confirmations. No training required.
e-Drop Fob Hook Variant
The e-Drop uses an e-Fob variant that is fitted inside each compartment, once unlocked the customer hooks their key on the fob and closes the compartment. Once the service team access the compartment, they can take the Fob out and lock the key to it by pushing in the hook. This is then ready to be taken through the workflow before being returned to an empty compartment.
Hook & Push Design
This new Fob Hook was designed especially for the e-Drop. Customers hook their keys, service teams remove and lock the keys to the fob when in use.
Detachable for Servicing
The Fob can be removed for a service member, allowing them to take the key and Fob across the workflow when required. Once removed they are then able to lock the fob to the key.
RFID Functionality
The Fob Hook also includes RFID, which means the detachable fobs can be placed into any empty compartment and will be able to identify the relevant key attached.
Checkpoint System Integration
When used alongside the e-Drop Concierge System, the Checkpoint creates a seamless end-to-end workflow. Once a customer drops off a key through the e-Drop, staff collect it and insert the e-Fob into a Checkpoint located at each stage of the workflow, such as inspection, servicing, or cleaning for dealership cases.
Smart Workflow Tracking
Automatically records progress as technicians insert their e-Fobs at each stage of a process, updating the WIP Tracker in real time.
Customisable Stages
Each Checkpoint can be configured to match your operational flow, from vehicle intake to inspection, service, and collection.
Performance Insight
Monitor key metrics such as job duration, technician activity, and stage completion to help identify delays and improve efficiency.
Complete Automation, Total Control.
The e-Drop system works seamlessly with the e-Track Web Software; it communicates directly and updates staff or admins on key placements and retrievals. This then works by sending out notifications to relevant parties, all while being able to be viewed from a central dashboard or directly through the workflow process view.
Workflow Customisation
All workflows can be customised to adapt to business requirements and workflows.
Automated System
The pairing of an e-Drop and Checkpoint ensures an automated workflow tracker.
Monitor Efficiencies
All stages and vehicles are tracked along with a timeframes, this can help identify delays.
